Eau Claire Medical Clinic ("the Clinic," "we," "us," or "our") respects your privacy and is committed to protecting the personal and health information entrusted to us. We handle health information in accordance with Alberta's Health Information Act (HIA), the Personal Information Protection Act (PIPA), and, where applicable, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).   • Health information — your medical history, symptoms, diagnoses, medications, test results, and the notes created during your care.
  • Information you provide — messages sent through our contact form, appointment requests, and feedback.
  • Website & technical information — limited data such as your IP address, browser type, device, and pages visited, collected automatically to keep the site secure and working properly.

We collect information directly from you wherever possible, and sometimes from other health providers involved in your care, with your consent or as permitted by law.

How we use your information

We use your information to:

  • Provide, coordinate, and improve your medical care;
  • Schedule, confirm, and remind you of appointments;
  • Process billing and claims, including through the Alberta Health Care Insurance Plan (AHCIP);
  • Communicate with you about your care and our services;
  • Maintain accurate medical records as required by law and professional standards;
  • Operate, secure, and improve our website.

We do not use your information for purposes unrelated to your care or our legitimate operations without your consent.

Our clinic management platform (Qlynic & Arxeon Inc.)

To manage appointments, records, communications, and billing, the Clinic uses Qlynic, a secure, AI-assisted clinic-management platform operated by Arxeon Inc. ("Arxeon"). Arxeon acts as our service provider (an information manager and processor) and processes your information solely on our behalf, under written agreement and strict confidentiality and security obligations.

Arxeon does not own your information and may not use it for its own purposes. Information processed through Qlynic is protected by encryption, access controls, and audit logging, and is handled in line with applicable Canadian privacy and health-information law.

How we safeguard your information

We maintain administrative, physical, and technical safeguards designed to protect your information against loss, theft, and unauthorized access, use, or disclosure, including:

  • Restricting access to those who need it to provide your care;
  • Encryption of data in transit and at rest within our systems;
  • Secure servers, firewalls, and access logging;
  • Confidentiality obligations for all staff and service providers;
  • Ongoing review of our security practices.

No method of transmission or storage is ever completely secure, but we work continually to protect your information and to respond promptly to any incident.

When we disclose information

We disclose your information only as needed for your care, or as permitted or required by law, including to:

  • Other health professionals directly involved in your care — such as specialists, laboratories, diagnostic imaging, and pharmacies;
  • Alberta Health Services and AHCIP for insured-service billing and reporting;
  • Authorities or courts where required by law, including public-health reporting or a valid court order.

We will never sell your personal or health information, and we will never share it for advertising or marketing by others.

Subject to applicable law, you have the right to:

  • Access the personal and health information we hold about you;
  • Request a correction if you believe information is inaccurate or incomplete;
  • Ask questions about how your information is handled;
  • Withdraw consent for certain uses, where possible — though some withdrawals may affect our ability to provide care.

Cookies & website analytics

Our website uses a small number of cookies and similar technologies. Essential cookies keep the site secure and functioning. We may also use privacy-respecting analytics to understand how the site is used so we can improve it; this data is aggregated and is not used to identify you personally.

You can control or block cookies in your browser settings, though some features may not work as intended if you do. We do not use cookies to track you across other websites for advertising.

How long we keep information

We keep medical records for the periods required by Alberta law and professional standards — generally at least ten (10) years from the date of last service for adult patients, and for minors, until ten (10) years after they reach the age of majority.

Website and technical information is kept only as long as needed for security and operational purposes. When information is no longer required, it is securely destroyed or de-identified.

Acceptable use & prohibited conduct

This website and our systems are provided for legitimate patients and visitors. When using this website, you agree not to:

  • Access, or attempt to access, areas, accounts, data, or systems you are not authorized to use;
  • Probe, scan, or test the vulnerability of the website, or breach or circumvent any security or authentication measures;
  • Introduce malware, or interfere with, overload, or disrupt the website, servers, or networks — including denial-of-service attempts;
  • Use automated tools (bots, scrapers, crawlers, or harvesters) to access, copy, or collect content or data without our written permission;
  • Submit false, misleading, or fraudulent information, impersonate another person, or make appointments or requests in bad faith;

Fraud, misuse, or abuse of our systems is taken seriously. We may refuse or withdraw service, block access, preserve logs and evidence, and report suspected unlawful activity to the appropriate authorities. We reserve all rights and remedies available to us against fraud and system abuse.
